An internal AI knowledge assistant: fewer searches, better answers.

When the same questions keep landing with the same people, the business has an information problem. An internal AI knowledge assistant can help staff find answers in approved company material, without expecting them to know which folder to search.

The useful part
  • Start with one useful set of company knowledge.
  • Make the source and its owner easy to find.
  • Check permissions before making information easier to discover.

What does a company knowledge assistant do?

Staff ask a question in everyday language. The assistant searches the approved material connected to it and prepares an answer with links to the relevant sources. Those sources might include procedures, product manuals, policies or service information. This is a proposed pattern for the system, not a feature every chatbot provides.

For example, a service team might ask which checks apply before returning a product. A useful answer points to the current procedure, shows where the information came from and makes missing detail visible. It should help the person check the answer and take the next step.

Connect the right information, not everything

Start with a contained area where repeat questions cost time and the source material has a clear owner. A current set of approved procedures is a better first candidate than years of mixed drafts, emails and personal notes.

Microsoft describes how Copilot can ground an answer in relevant work information and provide citations. It also advises users to verify critical details and warns that old source files can produce outdated answers. The lesson for a company assistant is straightforward: the information you connect matters as much as the chat interface. Microsoft Support.

  • Choose which material is authoritative.
  • Remove or clearly separate superseded versions.
  • Name the person responsible for keeping it current.
  • Decide what the assistant should do when it cannot find an answer.

Make access part of the setup

An assistant should not let a staff member discover information they are not entitled to see. Microsoft states that Copilot respects existing Microsoft 365 permissions. That makes the starting permissions important: if a sensitive folder is already shared too widely, easier search may make that weakness more visible. Microsoft Support, Microsoft Learn.

Review the relevant folders and staff roles before a rollout. Keep confidential HR, commercial and client material out of the initial scope unless there is a clear, approved reason to include it. Check the chosen product’s access model, data handling, licensing and settings; do not assume all AI tools behave alike.

Keep the source visible and uncertainty honest

A source link is useful because someone can inspect the document behind an answer. It does not prove that the answer interpreted it correctly. Test whether citations support the actual claim, and whether the assistant notices missing or conflicting information.

Include questions it should not be able to answer. For example, ask about a product that is outside the connected manuals or a policy that has not been approved. A clear “I cannot find that in the approved information” is preferable to a confident guess.

Test it with the people who do the work

Build a small test set from questions staff genuinely ask, using information you are allowed to use. Have the document owner check the expected answers. Include common questions, ambiguous wording, outdated material and requests from different access levels.

Measure how long it takes to reach a usable, checked answer compared with the current approach. Also record incorrect answers, missing sources and the questions that still need a person. These are Headland’s suggested trial measures, not a promised level of accuracy or time saving.

Training and ownership make it stick

Show the team what the assistant can cover, how to check a source and where to report a problem. Agree a simple route for unanswered questions to reach the right person. Someone should review feedback and update the underlying information when the business changes.

Avoid measuring success only by logins or the number of messages sent. Look for less time spent searching, fewer interruptions to specialists and reliable answers within the agreed scope. A useful assistant should make the working day easier, not add another place to look.

Start with the tools you already have

The best route may use your existing Microsoft 365 or Google Workspace environment, a suitable business platform or a focused custom solution. The choice depends on your information, permissions and the work staff need to do. There is no benefit in buying a second system simply to reproduce something your current tools can support.

Headland’s AI Workspace + Training service combines the internal assistant setup with organising relevant knowledge, checking access and training the people who will use it. We start with a practical job and agree how to tell whether it is helping.
